ASTRO 2011, 53rd Annual Meeting will be held on October 2-6, 2011, Miami Beach Convention Center, Miami Beach, Fla.

 

The American Society for Radiation Oncology's mission includes providing opportunities for educational and professional development of our members. To accomplish this, ASTRO conducts several meetings throughout the year.

Annual Meeting Call for Abstracts
The theme for the 2011 Annual Meeting is "Patient-focused, High-quality, Multidisciplinary Care," and will feature a continued emphasis on quality and safety issues in the delivery of radiation therapy in the areas of radiation therapy treatment techniques, equipment, terminology and professional responsibilities.

This year, a $60 abstract processing fee will be charged at the time of each submission.

ASTRO Abstract Submission Guidelines:

 

  1. NEW! A first author may submit more than one abstract; however, if more than one abstract is selected for oral presentation (either an oral scientific or poster discussion session), the first author will be limited to presenting in only one of the sessions. A co-author must be assigned to present the other abstract(s).
  2. If the first author is employed by a commercial interest as defined by the ACCME, an alternate presenter who does not have a relevant employment relationship must be named if the abstract is selected for presentation in an oral or poster discussion session.
  3. Sponsorship or ASTRO membership is not required to submit an abstract.
  4. An abstract may only be submitted to the ASTRO Annual Meeting once. Duplicate abstracts (reporting the same data) that are submitted under a different author will not be considered.
  5. Abstracts must be submitted online through the abstract submission program. No fax copies, disk or e-mail submissions will be accepted.
  6. Abstracts must be received by March 16, 2011, 11:59 p.m. Eastern time. Abstracts received after the deadline will not be eligible.
  7. NEW! Plenary presentations are, preferentially, original work that has not been presented or published elsewhere. Previously presented abstracts of notable work may be considered for presentation in the clinical trials session.
  8. Abstract presenters with papers accepted for presentation at another meeting or accepted for publication after March 16, 2011, are required to notify ASTRO of the change in status by e-mail to Janet Mitchell by April 10, 2011.
  9. Once an abstract has been selected for presentation, it may not be revised prior to publication in the proceedings. Typographical errors that do not affect the data presented or accidental omissions of co-authors are not reasons for changes to abstracts after selection. Proof your abstracts carefully for formatting, spelling and grammar. Double check all sections of the abstract, (i.e., title, authors, disclosures and abstract body). Material may be updated in your presentation and manuscript.
  10. The maximum character limit that includes the title and body of the abstract is 2,500. Spaces are not counted.
  11. NEW! An abstract may contain one small table if it will improve the reporting of data. The table must be built using the table tool in OASIS.
  12. The abstract may not contain any illustrations, graphs or images. Any abstract containing an illustration, graph or image will not be accepted for peer review. If selected for oral or poster presentation, presenters may then expand their abstract to include illustrations, graphs and images for presentation purposes.
  13. A maximum of 10 author names may be listed on each abstract. There are no exceptions.
  14. Abstract submissions should be submitted in the most appropriate category. A list of submission categories is available in the online submission module. Please note that the ASTRO scientific program chairman has the authority to re-categorize any abstract.
  15. Presenters should use product-based and generic names in lieu of proprietary names in both the title and in the body of the abstract.
  16. Abstracts may be edited up to the deadline date of March 16, 2011. Abstracts will be considered ineligible for review until they are complete. Draft abstracts will not be considered.
  17. Under a special arrangement between ASTRO and RSNA, you may submit an abstract on the same topic to both societies’ meetings. In the event your abstract is not selected by ASTRO, your submission will be forwarded to RSNA; however, please confirm receipt of your abstract by RSNA prior to their abstract deadline.
  18. You will be notified of the disposition of your abstract in early May. If you wish to withdraw your abstract, you must submit your request in writing by May 9, 2011, to Janet Mitchell. After May 9, your abstract will be published in the 2011 Annual Meeting Proceedings.
  19. Acceptance of the abstract by the committee obligates the author to present the paper and pay the meeting registration fee. If circumstances prevent attendance, the author must arrange for the paper to be given by a substitute, preferably a co-author.
